Wedding Guest Transportation in Chicago: 7 Things to Check Before Booking

Moovs Marketing • October 6, 2026

You've got a wedding to plan. The venue is booked, invitations are going out, and there are still a hundred little things to sort out. Then you remember that some guests need a ride from their hotel, and the ceremony and reception aren't even in the same place.

Transportation can get overlooked when you're busy planning everything else. But leaving it until the last minute can make the day harder than it needs to be.

At AME Ground Transportation Service, we provide transportation for weddings and special events in the Chicago area. If you're looking into wedding transportation services in Chicago, here are seven things to check before you book.

1. Find Out Who Needs a Ride

Ask your guests

Start by asking who'll need transportation. Some guests will drive themselves. Others may be flying into Chicago or staying at a hotel without a car.

You don't need a final headcount on day one. Just get a rough idea of how many people might need a ride. That gives you a starting point when comparing wedding transportation services in Chicago.

Find out where they're staying

If several guests are booked at the same hotel, you may be able to arrange one pickup for the group. If they're staying all over the city, you'll need to plan for different stops.

It's a small detail but it can affect the whole schedule.

2. Check the Distance Between Venues

Write down the addresses

Maybe your ceremony is at a church and the reception is at a banquet hall across town. Or perhaps you want guests picked up from a hotel before the ceremony.

Write down every location. Check the drive time, too and allow extra room for Chicago traffic. A trip that looks short on a map can take longer when the roads are busy.

Share the route before booking

When you ask for a quote, explain where the driver needs to pick up and drop off your guests. Mention any extra stops, even if you're still working out the timing.

Sorting this out beforehand is much easier than changing the plan while everyone is waiting outside.

3. Pick a Vehicle That Fits Your Group

Get a rough headcount first

A group of six has different needs from a group of 25. Once you know how many guests need a ride, you can ask about vehicles that fit your group.

At AME Ground Transportation Service, we provide transportation for weddings and special events. You can find more details on our Special Events page.

Check the seating before you book

Make sure there's a seat for everyone who'll be riding. If more guests ask for a ride later, tell us before the wedding so we can discuss the options. Don't guess based on how a vehicle looks. The number of passenger seats matters more.

4. Give Yourself Enough Time

Work backward from the ceremony

Start with the time guests need to arrive. Then work out when they should leave, allowing time for traffic and getting everyone on board.

Picking up people from several hotels will take longer than collecting one group from a single location. Build that into the plan.

Tell guests when to be ready

Be specific about the pickup time. For example, you could ask guests to meet at the hotel entrance by 3:15 p.m. for a 3:30 p.m. departure.

Send them the details early. You don't want to spend the morning of your wedding answering messages about where everyone should wait.

5. Plan the Trip to the Reception and Back

Will a shuttle make things easier?

If the ceremony and reception are at different venues, guests need a way to get between them. Some will drive but others may prefer to travel together.

You can ask us about our shuttle bus service when planning transportation for your wedding.

Think about getting everyone home

This part is easy to forget. You spend weeks planning how guests will get to the wedding, then realize you haven't worked out how they'll get back.

Think about where guests need to go after the reception. Some may return to their hotels, while others might leave earlier. Discuss the return trip before booking and check whether it's included in the price.

6. Check the Booking Details

Make sure you understand the price

Before you confirm anything, check the total cost and what's included. The vehicle, pickup times and stops should match what you've agreed on.

Ask about payment and cancellation terms, too. Wedding plans can change, and you don't want to find out about a fee after the fact.

When comparing wedding transportation services in Chicago, take a little time to read the details instead of looking at the price alone.

Mention any special needs

One of your guests may need extra help getting into a vehicle or reaching the pickup spot. If you know about any specific needs, bring them up before booking. We can then discuss what may be possible for your trip.

7. Make Pickup Instructions Clear

Tell guests where to meet

Don't assume everyone knows where to go. A hotel might have several entrances, and guests visiting Chicago for the first time may not know the area.

Send a message with the pickup address, meeting point and departure time. Keep it simple enough that guests can check it quickly.

Ask someone to handle questions

On your wedding day, you'll have enough to think about. Ask a friend, family member or wedding coordinator to help with transportation questions.

If someone can't find the pickup spot, they'll know who to contact. You can get on with your day.
